From website articles to a newsletter, every two weeks.
A newsletter workflow brings WordPress articles and events into an Infomaniak campaign, with editorial review built in.
A Swiss publisher wanted a newsletter that could bring together its latest articles and upcoming events. Pyxa designed an automated workflow that prepares the campaign while leaving the editorial team in control of its content and timing.
The website prepares the content
The starting point is WordPress, where the team publishes its articles and events.
A custom plugin prepares the newsletter data according to rules the team can adjust. It normally looks back over the previous 14 days for articles and ahead for upcoming events. Editors can exclude an article or keep it appearing in the newsletter until a chosen date. They can also adjust the search periods and set limits on the number of articles included.
The selection can follow the publisher’s editorial needs without requiring someone to assemble every issue by hand.
A campaign ready for review
Every two weeks, n8n retrieves the prepared content, builds the newsletter HTML and creates a campaign through Infomaniak’s API. The workflow sends a test and a confirmation email so the team can review the result.
If the selection needs changing, editors can update it in WordPress and restart the process. They can also edit the campaign HTML directly in Infomaniak. When they’re happy with it, they can validate the campaign and choose a send date; by default, it is scheduled for the next day.
If no action is taken, the campaign is automatically validated after two days. That review period can be adjusted.
Built around the tools already in use
Pyxa designed the solution from the client’s specifications, connecting the WordPress plugin, n8n and Infomaniak. The implementation also had to account for API constraints, including rate limits, while producing an HTML template suited to the newsletter.
The workflow is now live and in use. Refinements to the email HTML are ongoing. For the editorial team, the recurring campaign is prepared automatically, with room to review, adjust and decide when it goes out.
